Setup and usage guide for the deal deduplication widget for Kommo CRM
1. Installation
- Go to Settings → Integrations in your Kommo account.
- Find the «Deal Duplicates by VentasBoost» widget in the marketplace.
- Click Install and grant the requested permissions (OAuth authorization).
- Once installed, the widget will appear in the left panel of the deal card.
2. Initial Data Collection
After installation, the widget begins collecting fingerprints of your existing deals. This is required for finding duplicates.
- First 7 days after installation are a free trial with no plan restrictions.
- The widget processes deals in the background without affecting the Kommo interface.
- You can track the collection progress in the widget settings.
3. Creating Rules
Rules define which deals are considered duplicates and what happens to them. You can create multiple rules for different pipelines and scenarios.
Rule Name
Give the rule a descriptive name, for example: «Duplicates in main pipeline» or «Repeat inquiries».
Enabled / Disabled
Each rule can be temporarily disabled without deleting it. Disabled rules are not applied when checking new deals.
Action on Duplicate Detection
- Merge — the duplicate is automatically merged with the main lead. Contacts, notes, and tasks are transferred.
- Tag only — the duplicate is not merged but receives a tag (e.g. «duplicate») so a manager can handle it manually.
Pipeline
Select the pipeline where the rule will apply. The rule only affects deals within the chosen pipeline.
Duplicate Search Criteria
Specify the data used to determine a match:
- Primary contact — phone and/or email of the deal’s main contact.
- Additional contacts — phones and emails of all linked contacts.
- Company — the name of the company linked to the deal.
- Deal fields — any custom deal field (e.g. tax ID, order number).
Merge Method
- Within pipeline — duplicates are searched only within the same pipeline.
- Across all pipelines — duplicates are searched across every pipeline in the account.
Creation Date Filter
Limit the duplicate search to deals created within a specific period (e.g. the last 30 days).
Exclusion Field
Specify a deal field that, when filled in, excludes the deal from duplicate checks. For example, if the «VIP» field is filled, the deal will not be merged.
4. Main Lead
During a merge, one deal becomes the «main lead» (it stays) and the other becomes the «duplicate» (it gets absorbed). Criteria for selecting the main lead:
- Earliest creation date — the older deal is kept as the main lead.
- Latest creation date — the newer deal is kept as the main lead.
- Highest budget — the deal with the larger amount stays.
- Most tasks — the deal with more activity stays.
- Furthest along the pipeline — the deal at a later stage stays.
5. Field Mapping
Configure how data is combined during a merge:
- Responsible user — choose whose responsible user is kept: from the main lead or from the duplicate.
- Creation date — keep the creation date of the main lead or the duplicate.
- Text field concatenation — text field values from both deals are joined with a separator so no information is lost.
6. Post-Merge Actions
Task Transfer
All incomplete tasks from the duplicate are moved to the main lead.
Note Transfer
Notes from the duplicate are added to the main lead with a source label.
Deferred Merge
If a deal is in a stage with Digital Pipeline automation, the merge is postponed by a set delay to avoid interrupting automated actions.
7. Rule Priority
When multiple rules exist, they are checked from top to bottom. The first matching rule is applied to the deal.
- Drag and drop rules to change their order.
- Place more specific rules higher and broader rules lower.
8. Batch Analysis
Batch analysis scans your entire deal database for duplicates using the active rules.
- Open the widget settings.
- Click «Run Batch Analysis».
- Monitor the progress in real time.

10. Subscription Management
Payments are processed through Stripe, a secure international payment service.
- Open the widget settings and go to the «Subscription» section.
- Choose a plan and billing period (monthly or annual).
- Click «Pay» — you will be redirected to the Stripe Checkout page.
- After payment, the plan is activated automatically.
Managing Your Subscription
To change your payment method, cancel your subscription, or view invoices, click «Manage Subscription» in the widget settings. You will be redirected to the Stripe Customer Portal.
11. FAQ
- The widget does not find duplicates
- Make sure the rule is enabled and the correct pipeline is selected. Verify that the search criteria match the contact data (phone and email must be filled in).
- Deals are being merged when they should not be
- Check your search criteria. Different clients may share the same phone number or email. Use the exclusion field to protect important deals.
- Batch analysis has stopped
- The analysis may pause when Kommo API rate limits are reached. It will resume automatically. Do not start another analysis.
- How do I undo a merge?
- There is no automatic way to split deals back apart. However, all data from the duplicate (notes, tasks, contacts) is transferred to the main lead, so no information is lost.
- The widget stopped working after the trial ended
- The free trial lasts 7 days. After it expires, the FREE plan with limited features is available, or you can subscribe to a paid plan.
